Office Assistant, LHT (Less than Half Time)

The David Rockefeller Center for Latin American Studies at Harvard is an international, university-wide Center working across 13 different schools and in 33 countries within Latin America, with offices in Cambridge, MA, as well as Brazil, Chile, and Mexico. The Center leverages the research, educational and convening capabilities of Harvard to contribute to a more prosperous, democratic, sustainable, and inclusive Latin America.

Job Description:

The Office Assistant, LHT will execute a variety of administrative tasks, including:

 

Customer service

  • Welcoming and directing vendors and guests to appropriate offices or rooms as needed

 

Office Support and Organization

  • Sorting and sending mail as needed

  • Ordering and organizing office, kitchen, and DRCLAS staff-specific supplies (i.e. notebooks, coffee, business cards, etc.)

  • Restocking and maintaining common areas such as the lobby, kitchen, copy room, and resource room

  • Assisting new staff and Visiting Scholars with ordering new business cards, nameplates for doors, setting up new mailboxes

  • Scheduling all staff office meetings

 

Facilities and equipment maintenance

  • Performing routine inspections of physical space and operations

  • Providing support with office and space planning projects

  • Ensuring scanners and printers are up to date

  • Submitting maintenance and new key requests through Presto

  • Submitting IT requests through Harvard University Information Technology (HUIT)

  • Maintaining computer inventory

  • Monitoring and maintaining general DRCLAS voicemail and email account

  • Processes transactions, invoices, and reimbursements

  • Reconciles own pcard and/or corporate card

  • Assisting with additional administrative requests as needed

Number of hours per week: 10 hours1
Hourly pay rate: $25
This temporary position will expire on: May 31, 2024

1 Maximum hours can be increased to a total of 16, depending on candidate ́s availability and DRCLAS workload.

Able to come into the office located in Cambridge, MA once or twice per week

  • Non-U.S. citizen employees must confirm that there are no restrictions on work location based on immigration status.

  • LHTs are not eligible for benefits, but they are eligible for sick time, and may enroll in the Harvard Tax-Deferred Account (TDA) retirement plan.

 

Basic Qualifications:

Knowledge of basic computer software such as Microsoft Office tools.

 

Additional Qualifications:

  • Superb customer service skills, problem-solving attitude, and ability to manage high-stress situations, maintaining professionalism and diplomacy.

  • Adaptable, flexible, and tactical to accommodate last-minute requests and changes when possible.

  • Demonstrated close attention to detail and time management.

  • Candidates must be willing and able to lift 25 pounds regularly.

  • Ability to work in a fast-spaced environment with competing deadlines and evolving priorities.

  • Excellent relationship building skills – ability to work with individuals at all levels of the organization.

  • Fluency in Spanish or Portuguese preferred.

  • Experience and interest in Latin America and/or the Caribbean preferred.
