SENIOR ASSISTANTAudit Division, to provide comprehensive office and administrative support to the Institute auditor, management team, and division staff.  Will utilize tools in a heavily hybrid work environment to provide calendar management and meeting scheduling for the auditor, management team, staff, and conference rooms; assist with the preparations for Risk and Audit Committee meetings (in person and virtually) at least six times per year, including planning, coordinating and executing meeting logistics, reviewing communications and materials for accuracy, and compiling related reporting for external auditors; coordinate, research, and gather information for strategic special projects; liaise between the division and a variety of organizations within and outside MIT; and exercise independent judgment and anticipate needs.  

 

Job Requirements

REQUIRED: high school diploma or its equivalent; five years’ administrative assistance or related office experience, preferably in academia; excellent interpersonal, communication, organizational, and word processing skills; meticulous attention to detail; flexibility; proficiency with Microsoft Office 365 (Outlook), Zoom, Dropbox, and Visio and willingness to learn new software; experience performing multiple projects concurrently and working with different team members; discretion and good judgment with confidential data/issues; and support for the Audit Division’s mission in support of achieving the Institute’s objectives. Must be able to work independently and collaboratively with colleagues and management at all levels and from varied backgrounds, including external constituents; learn quickly and work within critical time demands; prioritize and problem solve; set and continuously reevaluate dependent priorities; and work under pressure.  PREFERRED: bachelor’s degree; familiarity with SAP, Tableau, and Qualtrics and familiarity with cloud-based applications; MIT administrative experience; and willingness and desire to embrace new initiatives and opportunities.  Job #22291-6

As of January 2023, this position is designated as one that can be performed in a hybrid model of four days per week remote, and one day per week in the office, and is subject to change.
