ADMINISTRATIVE ASSISTANT, ENGAGEMENT DEPARTMENTMIT Museum, to provide administrative support, including booking workshops, stocking and ordering supplies, and assisting with finances.  Responsibilities include generating invoices and processing payments, including travel and expense reports for the Programs and Engagement departments; reconciling monthly financial accounts; initiating and maintaining temporary and contract employee paperwork; acting as the program group’s registrar for school and group workshops, including email and telephone contact with group leaders, reserving space, etc.; maintaining, procuring, and organizing materials for workshops and programs; maintaining team office supplies; placing and processing catering orders; assisting with meeting, event, and special program needs on and off campus; assisting with proposal development, research, learning evaluation and documentation efforts, and reporting as needed; assisting the director with communication and calendaring needs; data entry, maintaining contact lists and program databases; communicating with individuals and groups at MIT and within the greater Boston community about MIT Museum programs; providing additional support for large-scale activities during “crunch times” as needed (e.g., annual Nord Anglia professional development residency for international teachers and the Cambridge Science Festival); and performing other support tasks as assigned, including those at a lower level if needed.  

 

Job Requirements

REQUIRED: high school diploma or its equivalent; three years’ experience that included performing administrative, office, and financial responsibilities; excellent customer service, organizational, time-management, communication, problem-solving, and interpersonal skills; proficiency with Microsoft and Google platforms and comfort with online databases; and ability to work both independently with limited supervision and as part of a team. PREFERRED:  college degree and MIT experience including with its financial systems.

May be required to work occasional evening and weekend hours.

This position is not eligible for regular hybrid work, due to the expectation that the employee will be on-site to support the programmatic functions.
